Privacy Policy

1. Who We Are

Watchtower ("we", "our", "the Service") is a Discord bot and community intelligence platform designed for gaming community managers. By adding Watchtower to your Discord server or using our services, you agree to this Privacy Policy.

2. What Data We Collect

Watchtower collects data only from Discord servers where it has been explicitly installed by an administrator. We collect:

• Server metadata — Discord server ID, server name, timezone settings, and configuration preferences you set.
• Message activity data — Aggregate counts of messages per channel per day. We do not store full message content long-term; content is processed in-memory for analysis and then discarded.
• Member activity data — User IDs of active members per day (used to calculate engagement metrics). We do not store usernames, profile pictures, or personal details.
• Engagement signals — Reaction counts and reply counts on posts, used to calculate top content scores.
• Risk signals — Short content previews from messages flagged by our keyword detection system, stored temporarily for moderation review.
• Recipient preferences — The Discord user ID of the community manager designated to receive reports.
• External sources (optional) — If you configure Reddit or Steam integrations, we fetch public post data from those platforms. We do not store Reddit or Steam credentials.

3. What We Do NOT Collect

• We do not read or store private/direct messages between users.
• We do not collect email addresses, passwords, payment information, or personal identifiers beyond Discord user IDs.
• We do not build profiles on individual community members.
• We do not sell, rent, or trade any data to third parties.
• We do not use your community's data to train AI models.

4. How We Use Your Data

Data collected is used exclusively to provide the Watchtower service to the server administrator and designated community managers. Specifically:

• To calculate community health scores, engagement trends, and sentiment reports.
• To generate weekly digests, monthly executive reports, and on-demand analysis.
• To detect and alert on real-time activity spikes and risk signals.
• To power the /watchtower ask AI query feature using aggregated server context.

When AI analysis is performed (reports, ask queries), anonymised message excerpts are sent to our AI provider (Groq) for processing. These requests are not retained by our AI provider beyond the duration of the API call.

5. Data Storage & Security

Server data is stored in a secure, hosted database (Supabase) with encryption at rest and in transit. We do not store data on personal machines. Access to production data is restricted to Watchtower developers only.

Report PDFs are generated in temporary memory and sent directly to the recipient's Discord DMs. They are not stored on our servers after delivery.

6. Data Retention

• Activity metrics (message counts, active user counts) are retained for up to 12 months to enable trend comparisons.
• Risk event previews are retained for 30 days.
• Server configuration data is retained for as long as the bot remains in your server.
• When you remove Watchtower from your server, you may request full data deletion by emailing privacy@getwatchtower.gg.

7. Discord's Role

Watchtower operates as a Discord application and is subject to Discord's Privacy Policy and Discord's Developer Policy. By using Watchtower you also agree to Discord's terms of service.

8. Your Rights

As a server administrator or community manager using Watchtower, you have the right to:

• Request a copy of the data Watchtower holds for your server.
• Request deletion of all data associated with your server.
• Remove the bot from your server at any time, which will halt all future data collection.

9. Children's Privacy

Watchtower is intended for use by community managers and studio professionals. We do not knowingly collect data from individuals under the age of 13. If you believe a minor's data has been collected inadvertently, please contact us immediately.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we'll update the "Last updated" date at the top of this page. Continued use of Watchtower after changes constitutes acceptance of the updated policy.
